LUXURY MARKETING COORDINATOR
Are you a creative and tech-savvy marketing professional who thrives on innovation and being at the cutting edge of marketing strategy? We are looking for a savvy, passionate, and dynamic Luxury Marketing Coordinator who will play a critical role in managing all marketing systems, assets, and operational processes to enhance client experiences and elevate the brand’s position in the luxury real estate market.
This is a production and execution role. Our systems, brand standards, and approval processes are already established — you’ll operate within them, at a high level and on deadline, owning brand-consistent execution across all client-facing channels including listing campaigns, social media, email marketing, print collateral, and events. This role reports directly to the Director of Operations and CEO.
What You’ll Do
- LISTING & SALES MARKETING: Design and execute Just Listed and Just Sold campaigns across print, social, and email, coordinating collateral delivery and post scheduling in alignment with the marketing calendar and Listing Coordination.
- SOCIAL MEDIA EXECUTION: Publish approved content across Instagram, Facebook, and LinkedIn, scheduling posts aligned to active listings, market activity, and team events — with captions, visuals, and timing that meet brand standards every time.
- EMAIL MARKETING: Build and deploy targeted campaigns to segmented audiences, maintaining list hygiene, segmentation accuracy, and compliance, while owning database communications for listings, past-client remarketing, and market updates.
- PRINT COLLATERAL: Produce buyer and seller guides, bio cards, open house materials, and direct mail pieces, preparing print-ready files to vendor specs and managing vendor coordination and delivery tracking.
- ASSET & CALENDAR MANAGEMENT: Maintain master templates and a current asset library, and own the AGR marketing calendar so listings, campaigns, and events are executed on schedule.
- EVENT MARKETING: Coordinate promotion timelines for client, community, and team events across email, social, and print, with on-site support for select events.
- ANALYTICS & REPORTING: Pull and summarize performance reports, flagging trends and delivery issues to the Director of Operations.
What You Bring
- 2+ years in a marketing production, graphic design, or digital marketing role
- A strong creative eye with visual consistency and brand judgment across all asset types
- Advanced Canva proficiency, including template management and print-ready file prep
- Experience with Mailchimp or an equivalent email marketing platform
- A strong command of Google Workspace (Docs, Sheets, Drive)
- Direct mail and print production experience — file prep, vendor coordination, and delivery tracking
- Excellent copywriting and proofreading skills, with social media execution experience across Instagram, Facebook, and LinkedIn
- Basic video editing / short-form content capability and comfort with analytics reporting
- A personable, professional, and self-directed approach — you manage your own deadlines without hand-holding
Nice to Have
- Adobe Creative Suite (Illustrator, Photoshop, InDesign)
- WordPress — content publishing and basic page management
- A social media scheduling platform (Later, Hootsuite, Buffer, or equivalent)
- Follow Up Boss (FUB) or comparable CRM experience
- SEO fundamentals and real estate industry familiarity

LISTING & CLIENT CARE COORDINATOR
Do you have the gift of making people feel taken care of? Do you thrive when you’re organized, in control, and helping others achieve their goals? We are hiring a full-time Listing & Client Care Coordinator to take full ownership of the home listing process from start to finish, while serving as the white-glove client care resource for our luxury sellers throughout their entire experience. You are the face of our organization — the liaison between clients, agents, and vendors — and the reason our sellers feel supported every step of the way.
This is a full-time, in-office position in Winchester, MA.
Listing Coordination
- Own the complete seller listing process from initial contact to executed contract, freeing agents to focus on helping more clients.
- Manage all MLS listings — enter and maintain listing data, upload photos, update status changes, and syndicate to online platforms.
- Prepare listing appointment materials including Comparative Market Analysis (CMA), market data, and presentation collateral.
- Coordinate all property-preparation logistics: schedule and attend vendor appointments (photographers, stagers, contractors, painters, inspectors), keep timelines on track, and communicate consistently with sellers and the team.
- Create and maintain listing packets, brochures, floor plans, and related collateral for every listing.
- Organize open house and broker tour schedules, attending as needed.
- Oversee marketing and promotional initiatives for each listing — digital, print, and social — to maximize property exposure, collaborating with team members as needed.
- Track all listing opportunities and maintain accurate records.
Client Care
- Serve as the primary point of contact for seller clients from first introduction through closing, delivering a consistently high-end, white-glove experience.
- Foster strong client relationships with timely, warm, and professional communication by phone, email, and in person.
- Provide sellers with regular updates — weekly showing activity reports, market feedback, and timeline progress — and confidently discuss them.
- Proactively anticipate client needs and handle issues that arise before they become challenges.
- Coordinate vendor and service resources on behalf of clients when needed — contractors, home services, and related support — so clients don’t have to.
- Represent the team with the highest level of professionalism in every interaction. This is a concierge-level role for someone who genuinely cares about customer experiences.
What You Bring
- Experience in real estate, hospitality, project management, or client-facing service — you understand what white-glove luxury care looks and feels like.
- Exceptional written and verbal communication, with a natural ability to build trust quickly with clients, agents, and vendors.
- Meticulous organization and detail orientation — you juggle many moving pieces without letting anything slip.
- Calm, solutions-focused composure under pressure, keeping things moving in a fast-paced environment.
- A proactive, reliable, and professional presence — punctual, trustworthy, high-energy, and passionate about superior service.
- Tech-savvy with Mac, Google Workspace, and MLS platforms.
